We currently have an opening on our US Presales Commercial team for an experienced Administrative Assistant. This role will be located in Round Rock, TX area.

Role Responsibilities

Performs diversified and broad complex administrative duties for organization Executive who is responsible for a major function such as operations and field marketing. May take and transcribe dictation of a complex and confidential nature and assists in designated administrative details using initiative and judgment. Acts on behalf of others as delegate. Demonstrates knowledge of company policy, organization, and a high level of technical skill. Exhibits high level of professionalism on consistent basis. Uses general office equipment and PC in performing assigned tasks. Answers telephone and takes and relays messages.

Receives, screens and handles telephone calls, incoming mail, publications and other correspondence, some of which may be of a confidential or sensitive nature. Fills in for other executive assistants when coverage is needed.

Makes travel and lodging arrangements as required. Monitors vacations, schedules and calendars. Organizes meetings and meeting logistics.

Drafts own responses based on knowledge of the organization's policy, procedures or particular situation. Has knowledge of organizational structure and maintains organizational charts.

Interacts and establishes networking relationships with outside customers/high-level executives/administrative assistants in a professional manner.

Prepares memoranda, reports and other materials for staff and business meetings. May attend staff meetings; take and distribute minutes, follow up on action items. Maintains and analyzes files and records which often contain information of a confidential nature.

Requirements

Performs administrative support and secretarial duties for a department or group.

Prepares correspondence, presentations and reports.

Composes routine correspondence and memoranda.

Maintains confidential records and information.

Screens telephone calls and visitors, and resolves inquiries and requests.

Schedules and maintains calendar of appointments, meetings and travel itineraries, and coordinates related arrangements.

Tracks operational data in a database, including financial and other reporting metrics

Uses software tools to compile data into presentation format

Maintains accurate schedule of activities of the leader/executive supported, including complex meeting coordination and may include travel arrangements

Independently prepare presentations and recurring reports

Coordinates special projects and department activities

Coordinates office functions with other departments

Requirements

  • Competitive understanding of the different storage vendors offerings from HDS, IBM, Oracle, NetApp, etc

  • Excellent presentation skills in front of all levels of the IT Organization

  • Working knowledge of Storage Analysis and Monitoring Tools

  • Detailed product knowledge. Previous hands-on experience in the data center environment, with expertise spanning storage, BRS, virtualization, convergence, Cloud and/or Big Data

  • Customer focused

  • Communication skills

  • Ability to work effectively with senior management

  • Ability to manage in a matrix environment

  • Ability to influence others to achieve results
