Reporting to the Director, Legal Operations/Company Secretary, the Company Secretarial Administrative Support Specialist will be expected to perform administrative duties and provide support for the EMEA-based corporate secretarial team.
Key contact for administrative support for the UK-based corporate secretarial team, attending to administrative and support tasks, including but not limited to:
Managing signature folder (incoming documents-print/prep for signing/ scan and courier out, preparation of Minute extracts for certification) and managing liaison with notary (arranging for documents to be notarised / legalised)
Invoicing – liaison, as necessary, between external vendors (law firms) and centralised billing teams
Ad hoc project work to support governance and compliance of subsidiary entities
Document management of online and hard copy files;
Scanning, arranging upload of corporate documents to Blueprint and filing [there is a team that will manage the upload but the documents do need to be scanned and sent to them]
Managing T&E, as necessary for team members, email footers for EMEA in accordance with EU Directive and with guidance of senior manager, EMEA CoSec Intranet pages, EMEA CoSec Sharepoint, generic team email box
Any other duties that may reasonably be required
Excellent working knowledge of Microsoft Office suite, including Word, PPT and Excel required
Able to work independently, with the highest degree of accuracy
Strong organisational and administration skills, well organised, a self-starter
Excellent written and verbal communication skills
Enthusiastic and driven approach
Able to work in a flexible and a highly deadline-orientated environment
The candidate will be working as part of a small Company Secretarial team, so a professional, flexible and supportive based approach will be essential as is the ability to take instructions and complete tasks quickly and reliably
Will have experience or knowledge of company secretarial/legal documents
Experience of working in either a corporate or legal environment
This role is part of a small team, a team player is important for the role.
Knowledge of Blueprint OneWorld software (would be beneficial but not a prerequisite, can be trained)
